Event Planning Process at Historic Virginia Key Beach Park

Step 1: Submit Special Events Application

  • Ensure that the Special Events Application is completed and returned to the Trust's Special Events Liaison at least ninety (90) days prior to the event date.

Step 2: Review and Planning Meeting

  • Once the application is received, our team will review the event guidelines and application.
  • We will then schedule a meeting between you and the VKBPT Special Events Liaison to review your event plans and provide assistance in planning a successful event at the park.

Step 3: Fill out the City of Miami Special Event application

  • The Special Event Department will send you a personalized checklist of which departments to meet with to discuss the necessary components needed prior to giving their approval. The Special Events Coordinator can assist with these meetings if needed.

Step 4: Budget Considerations

  • To help you with your event budget, it's important to note that Historic Virginia Key Beach Park falls under the umbrella of the City of Miami.
  • The City has a policy (Motion No. 91-802) requiring event and festival organizers to pay for the cost of ALL city services and fees associated with the event at least three (3) days in advance of the activity.
By following these steps and guidelines, you can ensure a smooth and successful planning process for your special event at Historic Virginia Key Beach Park.

Event Regulations

  • Permission for your event is granted after thorough consideration of safety, traffic, and the needs of residents, businesses, and religious institutions in the area.
  • All necessary procedures, applications, permits, and city services must be obtained as required by the Virginia Key Beach Park Trust and the City of Miami.
  • Organizers must provide a current certificate of insurance naming Historic Virginia Key Beach Park Trust and the City of Miami as additionally insured.
  • Compliance with insurance coverage and liability limits established by the City of Miami is mandatory. For inquiries related to special events liability coverage, please contact the Insurance Coordinator of Risk Management – Frank Gomez at fgomez@miamigov.com.
  • Specific authorization from the Trust is required for the sale or distribution of any alcoholic beverages on park property. A State of Florida liquor license is also required for alcohol sale or service at any event.

While the park itself does not rent out equipment or amenities for special events, we are happy to provide referrals to trusted vendors who offer good quality and competitive prices.
